1. Overview
This Privacy Policy explains how Oneverse (“we”, “us”, or “our”) collects, uses, discloses, and safeguards information when you use the OneVerse device, mobile and web applications, and related services (collectively, the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the Service.
2. Information We Collect
Account information
- Name, email address, phone number, and password when you create an account.
- Billing details and transaction history when you purchase a device or subscription.
- Organization details for team and enterprise accounts (company name, seat count, admin roles).
Recordings & content
- Audio captured by your OneVerse device or app when you start a recording.
- Transcripts, AI-generated summaries, action items, and notes derived from your recordings.
- Files, links, and text you upload or paste into AskOne or the notes editor.
Device & usage data
- Device identifiers, firmware version, battery and storage status.
- App usage patterns, feature interactions, and crash diagnostics.
- Approximate location (derived from IP address) for security and localization purposes.
3. How We Use Information
- To provide core functionality: transcription, speaker identification, summarization, and search.
- To sync your recordings and notes securely across your devices.
- To send account, billing, and service notifications you have not opted out of.
- To detect, investigate, and prevent fraud, abuse, and security incidents.
- To improve reliability and performance of our models and infrastructure using aggregated, de-identified usage metrics — never your recording content.
- To respond to support requests and provide customer service.
We do not use the content of your recordings, transcripts, or notes to train AI models — ours or any third party’s. This applies to all plans, including free tiers.
4. Legal Basis for Processing (EEA/UK Users)
- Performance of a contract — to deliver the Service you signed up for.
- Legitimate interests — to secure our systems and improve the Service, balanced against your rights.
- Consent — for optional communications such as product newsletters.
- Legal obligation — to comply with applicable tax, accounting, and regulatory requirements.
6. Data Retention
We retain your recordings, transcripts, and account data for as long as your account is active, or as needed to provide the Service. You can delete individual recordings at any time from the app.
When you close your account, we permanently delete your content within 30 days, except where retention is required for legal, tax, or dispute-resolution purposes.
7. Data Security
- AES-256 encryption at rest and TLS 1.3 encryption in transit for all recordings and transcripts.
- Role-based access controls limiting internal access to production data.
- Regular third-party security assessments and penetration testing.
- On-device processing options for transcription where hardware supports it, minimizing data sent to the cloud.
No method of transmission or storage is 100% secure. We continuously invest in safeguards, but cannot guarantee absolute security. See our full commitments on the Security page.
8. Your Rights & Choices
- Access — request a copy of the personal data we hold about you.
- Correction — update inaccurate or incomplete information from your account settings.
- Deletion — request deletion of your account and associated data.
- Portability — export your recordings, transcripts, and notes at any time.
- Objection & restriction — object to or request limits on certain processing, subject to applicable law.
- Withdraw consent — opt out of marketing emails via the unsubscribe link in any message.
To exercise any of these rights, contact us at privacy@oneverse.io. Residents of the EEA, UK, and California have additional rights under GDPR and CCPA respectively, including the right to lodge a complaint with a supervisory authority.
9. International Data Transfers
Your information may be stored and processed in India and other countries where our service providers operate. Where required, we rely on Standard Contractual Clauses or equivalent safeguards to protect data transferred internationally. Enterprise customers may request data residency in a specific region.
10. Children's Privacy
The Service is not directed to individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be notified via email or an in-app notice at least 14 days before taking effect. Continued use of the Service after changes take effect constitutes acceptance.
